The best software for small group therapy practices

A group of 2 to 10 clinicians needs more than a solo plan times five: control over who sees which clients, one front door for new referrals, coverage when someone’s away, and a clear view of what each clinician earned. Here’s what seven options cost and how they handle it.

The short answer

Lowest cost per clinician: PracticeLite Practice Pro ($97/month for three clinicians, $155 for five). Most complete for insurance-heavy therapy groups: TherapyNotes Group ($179 for three, plus per-claim fees). Biggest ecosystem: SimplePractice Plus ($247 for three). Multi-discipline clinics: Jane.

Monthly costs below are list prices for three and five full-time clinicians, before insurance-billing fees and other add-ons.

How we compared

We make PracticeLite, so read this list knowing that. We’ve tried to be useful anyway: every tool below is a reasonable choice for someone, prices come from each vendor’s own pricing page, and each entry lists real strengths and real drawbacks, ours included. We looked at:

  • Monthly cost for three and five clinicians, and whether admin and billing staff cost extra.
  • Client privacy: can a clinician be limited to their own caseload?
  • Shared intake: one link for new clients, routed to the right clinician.
  • Coverage: on-call schedules, time off, and backup clinicians.
  • Reporting on each clinician’s visits and collections, for pay splits.

1. PracticeLite

Best for small groups that want group tools without enterprise pricing

Pricing: Practice Pro is $39/month including one user; each additional practitioner or staff member is $29/month and adds 200 SMS a month. Insurance billing is a $19/month add-on for the practice.

Strengths

  • Client privacy setting: everyone sees every client, or clinicians see only clients on their care team.
  • One request page for new clients; each request is matched to a clinician and lands on their care team.
  • Team & Coverage: on-call shifts and time off, with clients who have no backup clinician flagged.
  • Practitioner Earnings: visits, charges and collections per clinician, a share percentage for pay splits, and CSV export.

Watch out for

  • No group (multi-client) sessions or ePrescribing yet.
  • Fewer clinical templates and integrations than the larger therapy EHRs.
  • Admin and billing staff each take a $29 seat too.

Questions

How much does group practice software cost for 3 therapists?

At list prices for three full-time clinicians: PracticeLite $97/month, TheraNest Advanced $177, Jane $149, Practice Better $205, TherapyNotes $179, SimplePractice $247 and Healthie from $249, before insurance-billing fees and add-ons.

Can I stop associates from seeing each other’s clients?

In PracticeLite, yes: set client privacy to “Practitioners see only their assigned clients” and each clinician sees only clients whose care team they’re on, while admins and billers see everyone. Most group EHRs offer some form of role-based access; check how each handles assignment and backup coverage.

How do group practices track associate pay splits?

Look for per-clinician reports of visits, charges and collections. PracticeLite’s Practitioner Earnings shows each clinician’s visits, charges and collections for a month, applies a share percentage (like 60/40), and exports CSV for payroll. It reports the numbers; it doesn’t run payroll.

Do admin and billing staff cost extra?

It depends. TherapyNotes and Jane don’t charge for non-clinical staff; TheraNest doesn’t charge for billers and schedulers; Practice Better Team includes unlimited admins. In PracticeLite, every login takes a seat, including admins and billers, so a front-desk or billing person is $29/month.
