How to set up a group practice in PracticeLite

Bringing on your first associate, or running a group, means new questions: who sees which clients, who covers when someone’s away, how new clients reach the right person, and how everyone gets paid. Here’s how to set up all of it in PracticeLite.

  1. Add your team

    Group practices use the Practice Pro plan. It includes one practitioner, and each additional practitioner is a seat at $29/month.

    Open Practice Users. Under Seats Management, add a seat. Then, under Invite New User, enter their first name, last name and email, choose a role, and press Send Invite. They get an email, set their own password, and sign in with their own login.

    • Practitioner: sees clients and their own schedule.
    • Admin: also manages settings, staff and billing.
    • Biller: manages invoices, payments and insurance.

    An invite holds a seat until it’s accepted or revoked, so add the seat before you invite.

  2. Give everyone their own schedule

    In Appointment Settings, set the practice’s default hours. Under User Availability, each person either inherits those hours or gets a custom schedule, like a practitioner who starts later or doesn’t work Fridays.

    Appointment types (and their prices and billing codes) are shared, so the practice charges consistently. The Appointments calendar shows everyone’s sessions at once, labeled with each practitioner’s name.

  3. Decide who sees which clients

    In Settings → Client privacy between practitioners, choose one:

    • Everyone on staff sees every client: good for practices that share a caseload or cover for each other.
    • Practitioners see only their assigned clients: each practitioner sees only clients whose care team they’re on, plus their own appointments. Admins and billers still see everyone.

    Assignment comes from each client’s care team. For clients you already see, press Assign from appointment history: it adds the practitioners each client has seen and makes the most frequent one primary. On any client’s profile you can add a practitioner to the care team, for example as a backup, or change who’s primary.

  4. Give new clients one front door

    In Settings → Request page for new clients, add a short welcome message, turn the page on, and Copy link. Put it on your website, Google Business profile, directory listings or social bios.

    New clients enter their contact details, what they’re looking for help with, when they’re available, the insurance they’d like to use, and (optionally) who they’d like to see. Each request lands in Requests. Choose a practitioner under Match with and press Match and add as client: they’re added as a client, already on that practitioner’s care team. Requests you can’t take can be declined.

    The request form tells people it isn’t for emergencies and points them to 911 or 988.

  5. Cover for each other

    Open Team & Coverage and add time off (vacation, sick days, leave) or on-call shifts (a weekend birth call, after-hours crisis coverage) for anyone on the team.

    The page shows who’s on call now and who’s away now, and lists every appointment that falls in someone’s time off. Clients with a backup practitioner show who that is; clients without one are flagged No backup on the care team, so you can reschedule or assign cover before the week starts.

  6. See what each practitioner earned

    Practitioner Earnings shows, for any month, each practitioner’s visits and charges (by visit date) and what was actually collected (by the date the money arrived, from clients and insurance), plus what’s still owed.

    If you pay associates a percentage, enter their share (for example 60 for a 60/40 split) to see their share and what the practice keeps. Export CSV for payroll or your accountant. It’s reporting only: nothing is paid out automatically. Practitioners see their own numbers; admins and billers see everyone’s.

Can practitioners in a group practice see each other’s clients?
You choose. By default everyone on staff sees every client; switch to “Practitioners see only their assigned clients” and each practitioner sees only clients whose care team they are on. Admins and billers always see everyone.
How do new clients get matched to a practitioner?
Share your request page link. Each request lands in Requests with the person’s needs, availability, insurance and preferred practitioner; you pick a practitioner and the client is created on their care team.
Does PracticeLite pay associates automatically?
No. The earnings report shows each practitioner’s collections and, if you set a share percentage, their share and what the practice keeps. Export it for payroll; payouts happen however you pay staff today.
